Guide: Mapping Lightspeed Outlets and Registers

Learn how to correctly pair your Lightspeed Outlets and Registers to ensure accurate inventory syncing and order fulfillment.

Once you have successfully validated your credentials in the Lightspeed (X-Series) Integration, you will need to set up the mandatory configuration of Outlet ID and Register ID under Options. This step is critical because it tells Spark Shipping where to pull inventory from, and where to send orders to regarding that inventory.

To complete this, you must pair your Inventory Sources with your Order Destinations.


1. The Core Logic: Pairing

In Spark Shipping, every location connection requires two specific IDs to function:

  • Outlet ID (Where the stock is): This identifies which physical location's inventory levels Spark should sync to your website.

  • Register ID (Where the money goes): This identifies which specific register in Lightspeed will receive the web order data.

The Rule: You must create a "pair" for every location you want to automate. If you have five stores, you will typically set up five vendor instances in Spark, each with its own specific Outlet and Register pairing.


2. Why This is Mandatory

Without this mapping, the system cannot guarantee accuracy. For example:

  • Accounting: If an order is fulfilled by your North Dallas warehouse but recorded on your Addison register, your end-of-day reports will be incorrect.

  • Inventory Accuracy: If Spark pulls inventory from the wrong outlet, you may sell items online that are actually out of stock at the fulfillment location.


3. How to Identify Your Pairs

Look at the dropdown menus in your Vendor Options and match them based on your Lightspeed setup:

Step 1 Select Outlet Choose the physical store or warehouse name (e.g., My Shop North Dallas).
Step 2 Select Register Choose the register at that specific location designated for web orders (e.g., North Dallas Register).
Step 3 Repeat Create a new vendor setup for every additional location (Outlet ID) that requires independent inventory and order tracking.

Note: If you are unsure which Register ID corresponds to a specific Outlet, please check your Lightspeed Store Settings or consult your Lightspeed administrator before finalizing these options in Spark.
