How to integrate with Linnworks

Connecting Linnworks to Spark Shipping lets Spark Shipping automatically import your Linnworks orders, route each order to the correct vendor for fulfillment, and send inventory levels and tracking information back to Linnworks — no manual data entry required.

What the integration does

Data Direction What happens
Orders Linnworks → Spark Shipping New orders are imported and automatically routed to the correct vendor for fulfillment.
Shipment tracking Spark Shipping → Linnworks When the vendor ships, Spark Shipping marks the order as dispatched in Linnworks with the tracking number and carrier.
Inventory levels Spark Shipping → Linnworks Stock levels from your vendors' feeds automatically update your Linnworks inventory.
Pricing Spark Shipping → Linnworks (Optional) Prices update automatically based on vendor cost changes and your pricing rules.
Order cancellations Both directions If an order is cancelled in Linnworks before routing, it is not sent to the vendor. If a vendor cannot fulfill an item, the order is flagged in Spark Shipping so you can cancel or reroute it.
Before you begin
  • You need an active Linnworks.net account with permission to install applications. If you don't have install rights, ask your Linnworks account administrator.
  • Your Spark Shipping plan must support an additional site — you can confirm this on your profile page. See Adding & Deleting Sites for details.
  • Your product SKUs in Linnworks should match your vendors' SKUs, or be mapped in Spark Shipping, so inventory and orders sync to the right products.
Add Linnworks as a site
  1. In Spark Shipping, go to Sites and click New Site.
  2. Enter a name for the site and select Linnworks as the site type.
  3. Scroll down to the credentials section.
Connect to Linnworks
  1. Click the Connect to Linnworks button.
  2. A new tab or window will open on Linnworks.net. Sign in to your Linnworks account.
  3. Review the permissions that you will grant to Spark Shipping and click Install.
  4. You will be redirected back to Spark Shipping once the installation is complete.
Test the connection
  1. Back on the Spark Shipping credential page, click Test Connection.
  2. Once the connection succeeds, save the site. Allow approximately 30 minutes for your Linnworks products and orders to sync into Spark Shipping for the first time.

Note: If you found Spark Shipping in the Linnworks Application Store first, you can also start the installation from the Linnworks side. Click Install on the Spark Shipping app listing, then sign in to your Spark Shipping account when prompted to finish linking the two accounts. The remaining setup happens in Spark Shipping.

Configure your Linnworks site

After the connection is verified, review the following settings on your Linnworks site in Spark Shipping:

Order import. Choose which Linnworks orders Spark Shipping imports (for example, paid orders only). New orders are picked up automatically shortly after they appear in Linnworks.

Inventory updates. Select the Linnworks stock location that Spark Shipping should update with your vendors' inventory levels. You can also set quantity buffers per vendor to protect against overselling.

Tracking updates. When a vendor provides tracking, Spark Shipping processes the order in Linnworks as dispatched, including the tracking number and carrier, so your Linnworks order status and any connected sales channels stay accurate.

Pricing (optional). If you want Spark Shipping to manage prices in Linnworks, configure your pricing rules under your vendor settings.

Troubleshooting & FAQs

The connection test failed. Make sure you completed the install step on Linnworks.net and that your Linnworks user has permission to install applications, then click Test Connection again.

I need to reconnect Linnworks. If the Spark Shipping app was uninstalled in Linnworks or the authorization expired, open your Linnworks site in Spark Shipping, click Connect to Linnworks, and complete the install steps again.

Orders are not importing. Confirm the order exists in Linnworks and matches your order import settings (for example, the order is paid), and allow up to 30 minutes after first connecting a site.

Inventory is not updating in Linnworks. Check that the SKUs in Linnworks match your vendor SKUs or are mapped in Spark Shipping, and that the correct Linnworks stock location is selected in your site settings.

How do I disconnect the integration? Remove the Spark Shipping application from your installed apps in Linnworks, and delete the Linnworks site in Spark Shipping (see Adding & Deleting Sites). Deleting a site cannot be undone, so proceed carefully.
